- Connections to your systems as plugins, such as Google Drive, SharePoint, Gmail or Slack, and your CRM, such as HubSpot, through MCP once we have confirmed the connection in your account. We start read-only and add write access only where you approve it.
- A client space with tasks, documents and a checklist, so you see what is done and what is waiting on you.
- An AI literacy session for the people who will use it, in Dutch, French or English.
- A baseline of how the processes run today, and documentation with an owner for every part, all in your name.
How it fits together

How the Kickstart works
The Kickstart takes two weeks and costs €4,500 excl. VAT. During the intake we choose three to five processes with you and measure how they run today. The first workflow goes live within 72 hours of your users being provisioned. That assumes we have the intake items before we start. Over the rest of the two weeks we set up the other processes, the plugins and the approval rules, and adjust what does not work while your team uses Grok Bot on real tasks. Most of the build work runs on our own delivery agents, which is why this much fits into two weeks. A senior person at NUVAI reviews each part and signs it off before your team relies on it. Everything stays in your name, and nothing goes to your customers without someone at your company approving it.

Data, GDPR and the AI Act
Each user's Bots run on a dedicated, isolated cloud computer and start with no access to your accounts. A Bot only uses the accounts and plugins someone grants it, and sensitive actions wait for a person to approve them. With privacy mode on, the vendor states that your data is not used for training. During the intake we go through the vendor's terms and data processing agreement with you, and we write down which data the Bots may reach.
Since February 2025, the EU AI Act asks companies that use AI to make sure their people have sufficient AI literacy. The session in the Kickstart and the written overview of what runs give you a documented starting point for that.

What does a Grok Bot implementation cost?
The Kickstart costs €4,500 excl. VAT, fixed, for two weeks and three to five processes. Grok Bot licences are billed separately by the vendor and stay in your name. The Kickstart is the first step. Further build is scoped after it, at a fixed price per period.
How long does it take?
Two weeks for the whole Kickstart. The first workflow goes live within 72 hours of your users being provisioned. That works when we have the intake items before we begin. The other processes follow over the two weeks.
Which plan do we need?
Grok Bot is included on the Teams plan, where every member has access. On Enterprise an admin turns it on and can limit it to specific groups. Several controls, such as network restrictions, audit logs and action recording, are only available on Enterprise. During the intake we advise on the plan. We do not list licence prices here because they change.
What happens to our data under GDPR?
Each user works on a dedicated, isolated computer, and a Bot has no access to your accounts by default. With privacy mode on, the vendor states your data is not used for training. We include the vendor's data processing agreement in the intake, and for our own access we sign a data processing agreement with you before we start.
Does Grok Bot work with our single sign-on?
Yes. Members sign in with their company account through your existing single sign-on. Provisioning and deprovisioning through SCIM is available on Enterprise.
What do you need from us?
Before the start we need a signed data processing agreement, access to your identity provider for single sign-on, the list of people who get a seat and the sources and apps the Bots may use.
Can a Bot act on its own?
Only within the limits you set. We start new Bots on read-only tasks and drafts, and keep sending, purchases and production changes behind an approval. A person at your company stays responsible for what goes out.
Who does the build work?
Most of the build work runs on our own delivery agents. A senior person at NUVAI reviews every part and signs it off before your team uses it, and stays accountable for what we deliver.
What happens after the two weeks?
You keep the Bots, the routines and the documentation. If you want to go further, we agree the next step separately. You can also carry on without us.
